September 29, 2023 Plan Question - Changes to Automatically Assign
Please review the following article if you received communication from SETWorks the week of September 11, 2023, regarding important changes to the Auto-Assignment of Plan Questions.
The "Automatically Assign" setting is getting an update!
Plan Questions can be added and edited by navigating to Settings > Provider Build > Utilities > Plan Question Utility. Open a Plan Question by selecting it to see the "Automatically Assign" setting.
What Is the Current Functionality?
Plan Question auto-assignment currently only applies to manually created authorizations
or if an existing authorization is updated. The Automatically Assign functionality does not currently apply to existing authorizations (unless updated) or authorizations created by an authorization import. If a Plan Question is created or if one is updated, the Plan Question is not applied to authorizations that already exist in SETWorks.
What Is Changing?
The Automatically Assign feature with Plan Questions will now automatically assign the Plan Question to all existing authorizations as well as any authorizations created in the future.
Why & How Will This Affect My Organization?
Your organization will be impacted due to one of the following reasons:
- Your authorizations were imported
during Onboarding and have not since been updated.
- Your organization uses an
authorization import tool.
- Existing authorizations
have not been modified or updated that qualify for Plan Questions with the Automatically Assign setting enabled based on the services selected for the Plan Question.
These changes will now assign Plan Questions to qualifying authorizations, including individuals with completed documentation. This will register the Plan
Questions completion status as INCOMPLETE due to new Plan Questions being tied that have not been completed.
How Do I Need To Take Action?
To avoid impacts, your SETWorks Administrator can:
1) Disable the Automatically Assign
checkbox prior to Sept. 28th, 2023 on existing plan questions.
Leave the setting unchecked
- or -
2) Preferred Method: End Date the existing Plan Question that has Automatically Assign enabled. Create a new Plan Question
with a closer start date and enable the auto-assignment setting. Learn how to create new Plan Questions here.
