SETWorks saw quite a few enhancements in 2023 and we've highlighted the biggest in one spot right here. The most-used areas of SETWorks, Activity Records and Forms, received some really great enhancements that help users be more efficient and allow for more accurate data entry.
Activity Records
It's now possible to have multiple start and end times for both staff and individuals in one case note. This is incredibly helpful for those that provider 24x7 residential services so there can now be one case note that spans from midnight to midnight. Users no longer have to get creative splitting up case notes to account for staff and individuals coming and going throughout the day. This is also beneficial for day programs so a new note doesn't have to be created when someone leaves for a medical appointment and then rejoins the group.
Any edits that have been made to a Billable Group Activity Record are now available to be viewed from inside the case note. Simply click the Activity Records History button (
) within the record to view any previous entries. The history for all fields in the left panel are recorded as are individual and goal comments.
The Billable Group Appointment Activity Record was updated to allow for appointments to be created past the end date of an existing authorization. There are many times where individuals in the same record have authorizations with various end dates. This previously made scheduling out appointments difficult. So long as the individual has a valid authorization for the first date of the appointment schedule, they can be scheduled out as far as needed in the future.
This feature does require the "Enable the ability to schedule group appointments beyond the authorization end date" privilege to be enabled.
Plan Questions are already a powerful tool that is used to ensure that users are documenting on everything needed over the course of their shift. Plan Questions can be very individualized or they can also be used across everyone across all services. To simplify the process of assigning Plan Questions to individuals based on their default service, we introduced the capability to auto assign Plan Questions. As long as the individual is authorized for the service that is selected, the Plan Question will be applied to them.
The Non-Billable Activity Records have been updated with the ability to save and sign the case note right from within the record. This functionality already existed on the Billable Individual and Billable Group Activity Records and is now available on the Non-Billable Activity Record Types. Users no longer need to navigate to Review & Sign (Activity Records) to sign their Non-Billable case notes.
SETWorks made it easy to schedule upcoming appointments that are not part of service delivery. For example, doctor appointments can now be schedule utilizing a form and can be displayed on the calendar for everyone working with the individual.
The forms can be toggled on and off using the checkbox on the home screen.
Forms now have the ability to be marked as high severity or low severity and these can be filtered to be found more easily.
There are many times when there is key information in a form that needs to be made more visible when looking at many at once. Essential Answers were added to forms so users can decide which form questions should be more visible.
SETWorks makes building forms easy but the standard reporting output doesn't always match formatting required by outside entities. By utilizing the new custom form reporting options in SETWorks, users can now map form entries to fields in a Word document. Forms can now be completed in SETWorks and the output can match the outside entity formatting requirements. Signatures can be added to these outputs as well.
Before providing services to individuals it is typically required for the staff to have reviewed the individual's service plan (ISP). There are a few methods of doing this such as the
ISP Acknowledgement Forms but there is a new option.
When uploading files, users have the option to require acknowledgement for the uploaded file along with a date.
When viewing the file, users can acknowledge the file.
When documenting, users can acknowledge the file if they haven't already.
