Some states require Electronic Visit Verification (EVV) for select services. SETWorks offers for EVV requirements to be captured for Personal Care Services (PCS) as designated within the system. EVV allows a greater level of detail for tracking when and where services provider staff/Direct Support Professionals provide their services.
Included with EVV in SETWorks is a feature called 'check in/check out'. The check in/check out feature can only be enabled for Group Activity Records. Using the SETWorks EVV Experience tracks location coordinates upon 'checking-in' and 'checking-out' within the activity record. To enable EVV check in/check out in SETWorks, follow the steps in this article.
NOTE: Check in/check out can be documented within either the EVV Experience view of SETWorks, or the mobile view, or the desktop view. Automatic location logging using GPS can only be done from the EVV Experience.
Terminology can be modified within SETWorks to better fit the needs of your organization. If the terminology in our articles are not the same on your site, talk to your local administrator to assist in translation.
Configure the service as a "group service" and "required for EVV" via the Service/Phase utility:
- Navigate to the Settings gear in the top right corner of SETWorks
- Select Provider Build
- Select Utilities: Service/Phase utility
- Navigate to the EVV service(s)
- Edit
- Select 'Group Service'
- Select 'Require for EVV'
- Update
Enable Check In/Check Out
Settings > Provider Build > Maintain Privileges > Activity Records Group:
Enable the check in/check out buttons for capturing Staff Attendance time.
NOTE: This privilege replaces the default time picker with a check in/check out button.
Recommended EVV Privileges
Settings > Provider Build > Maintain Privileges > Billable Group:
Enable the ability to check in/check out of a Billable Group Activity Record only when the service is flagged for EVV.
- This privilege limits the check in/check out feature to EVV services. i.e., if the service is not "required for EVV" then the check in/check out buttons do not show and instead the normal time picker is available.
If check in/check out is enabled and the record is 1:1, updating the staff attendance time will update the consumer's time to the same time.
- When enabled, this privilege automatically updates the consumer's check in/check out times to match the staff persons.
Can add/edit check in/out times and edit User Location data.
- This privilege allows the user role to edit check in/check out times and location data. Recommended only for SETWorks administrators.
Enable the Primary Location drop-down on the Billable Group Activity Record as well as the Locations tab on the EVV Experience.
- This enables the Primary Location field for the record and automatically inserts the Consumer's address. Many states require Primary Location. (Missouri, North Carolina, and Pennsylvania require Primary Location.)
EVV - Limits the currently logged in user to creating EVV records only for themselves.
- When creating records using the EVV Experience, this privilege removes the entire staff listing so Users can only select themselves as the Staff for the record.
Shows the Community Locations button in the Billable Group record.
- This enables the ability to modify the Primary Location once the record has been saved.
This adds an icon to the Billable Group Activity Record to record times for Community Outings. The Primary Location can also be edited here.
Some states require a Primary Location to be set for each record. The address for the Consumer will be automatically entered into this field by default.
Settings > Provider Build > Maintain Privileges > Global:
EVV - Automatically redirect to the EVV Experience when logging in from a mobile device.
- When logging in from a mobile device, users will be directed to the new EVV Experience instead of the standard SETWorks website.
Show the Manage User Locations option in the select drop down. Also requires "Can add/edit check-in/check-out times and edit User Location data."
- This allows users to access the Manage User Locations page, which can be used to easily review EVV records and ensure they have adequate information attached. For more information on reviewing records, please visit our support article:
