How Do I Set Up Access for Auditors?

SETWorks can make it easy to provide limited access for a County, State, or CARF Audit. Please reach out to SETWorks Support for guidance. 
Terminology can be modified within SETWorks to better fit the needs of your organization. If the terminology in our articles are not the same on your site, talk to your local administrator to assist in translation.

The Auditor (Read-Only) Role

There are many times where someone should have access to your SETWorks build but you want to restrict access to what they can view/do. In these cases, we recommend having a separate Role specifically for Auditors or those that should only have read-only access to specific Individuals, such as Case Managers.

If you do not have a Role already setup for this purpose, please reach out to Support and SETWorks will create a Role for you and get you started. A simple way to view the Roles setup in your system is to navigate to Maintain Privileges (Settings > Provider Build > Maintain Privileges) and see if any of the columns would work for your Auditor Role.

SETWorks recommends that you create a dummy Auditor User account using a different email/username so that an Administrator can login and test the Auditor Role. This helps to ensure that all the privileges are assigned correctly.

The key privilege for the Auditor Role limits the Auditor to view only selected consumers. This privilege requires a Coverage relationship to be configured before any Users with this Role can view any Individuals.

Settings > Provider Build > Maintain Privileges > Consumer Index:
Coverage must exist to be able to access the consumer record.

When you are ready to create an Auditor account, we recommend setting up accounts specifically for each User. This allows for you to appropriately assign/remove access when needed. We recommend against using a shared Auditor User as you need to have the ability to revoke access as well as see when the specific User is signing in. This also allows you to assign Coverage correctly so the Users are only accessing the necessary information. 

One thing that is commonly overlooked is providing the Auditor Role access to any reports they may need. Please see this Reports Article for more information on how to enable the needed reports.
