Please review the following article if you received communication from SETWorks the week of February 19, 2024 regarding important changes to the Staff Training/Certifications/Reviews Expiration Fields - Required Prior to Billing.
What Is Changing?
SETWorks has discovered an issue with Staff Management functionality related to staff trainings. There were some cases where staff training was not properly validating that the staff indeed had those trainings in place required prior to billing.
How Will This Affect Me?
If you configure staff trainings to be required prior to billing, an update to address this issues will be released on April 5, 2024. This will mean that staff who do not currently have their training in place will be stopped from creating billable documentation.
If you do not use the staff management functionality to require trainings prior to billing, you will not be impacted by this change.
Why Do I Need To Take Action?
Before April 5, 2024, please review the Staff Training/Certifications/Reviews Expiration Fields via the Staff Training/Certification/Expiration Field Utility. Any entries that have "Required Prior To Billing" selected be impacted by this update and must be configured correctly to prevent interruption to billable documentation.
What Changes Do I Need to Make?
For any entries for which "Required Prior to Billing" is active, please check that the training associated has an active row for each staff (e.g., CPR/First Aid is indeed also active for each staff).
Logic on evaluating training that is required prior to billing:
IF (is required prior to billing is true and the expires flag on the staff expiration side is true)
We only look at rows that are active for the staff expiration field data
If the start date is blank - then only applies to prior to end date
If the end date is blank - then only applies from start into all future
If start and end date are blank - then training is fulfilled forever
If start and end date are not blank - then applies only within timeframe specified
If you have multiple - evaluate the same way across all and see if the training applies to today.
IF (is required prior to billing is true and expires is false)
Only check is to make sure the row is set to active for the consumer, all dates are ignored because as long as this is active for the staff person it will never expire.
NOTE: These changes will impact any active or inactive training on the staff profile if the setting for this training is set to require prior to billing.
