How Do I Use the Sign & Close Feature to Sign My Activity Record?

Sign and Close (sign & close) - Billable Group Activity Record

This view allows users to sign from within the (Billable Group) Activity Record. This method limits to signing one AR at a time, requiring your PIN each occasion.
To sign a record using the save & sign feature, follow the steps below: 
  1. First, ensure you are eligible to sign the record.
  2. Second, locate and open the Activity Record. 
  3. Next, click the "sign & close" button rear the top right corner of the record. 
  4. A pop-up dialogue will prompt for a PIN. Enter your PIN and select Submit. 


In the instance that a user has more than one role assigned (generally not recommended) then the user will see a dropdown showing the roles that are allowed to sign the record. They can select which of the roles they want to sign as and then select "sign & close" to sign as that role. See the screenshot below for an example:



We also support a workflow where Administrators can override the signature and sign as any role (as long as the role is configured to sign via the Activity Record Group Utility.)

Applicable privileges:

Allows the user to sign Billable Group Activity Records from within the record window. (required for the sign and close feature). 

If eligible to counter sign an Activity Record and the staff signature is empty, manager signature is only put in initial signature and the record is still eligible for counter signature by another user.

Staff signature is required prior to a manager being able to counter sign.

Allows users who are able to sign as a Manager/Reviewer to be able to override content even after counter signatures are placed. (This permission is usually enabled for administrators. It allows the user to sign as any role configured to sign the record.)

Other considerations:
Administrators can configure which role is eligible to sign a Billable Group Activity Record. If you are unable to sign a record using Sign & Close, talk to your Administrator. They may need to configure your role to be allowed to sign the records. 

Sign and Close (sign & close) - Billable Individual Activity Record

To sign a record using the save & sign feature, follow the steps below: 
  1. First, ensure you are eligible to sign the record.
  2. Second, locate and open the Activity Record. 
  3. Click the applicable sign and close button:
    1. To sign as staff, click the "staff sign & close" button rear the top right corner of the record. This will allow you to sign as staff. 
    2. To sign as manager, click the "manager sign & close" button. This will allow you to sign as manager.
  4. A pop-up dialogue will prompt for a PIN. Enter your PIN and select Submit. 
Applicable privileges:
Is unable to sign an Activity Record if it is incomplete (due to goals not being documented on).

Enable the "save and sign" and "update and sign" buttons on the Billable Narrative Activity Record. 

Enable the "save and sign" and "update and sign" buttons on the Billable Individual Activity Record. 

Is able to sign Activity Records as a manager.

Sign & Close - NonBillable Activity Records

1. To sign a record using the save & sign feature, the steps are similar as other records. 

Privileges 
Is able to sign Non-Billable Activity Records.
