The SETWorks AI Documentation Insights is a powerful tool in our HIPAA-compliant suite of SETWorks AI features, designed to analyze, summarize, and answer specific questions on all of your documentation! With the ability to build your own AI Documentation Insights within the provider build, this feature is tailored for your disability service organization, both in function and safety to ensure compliance and give you back valuable time!

How to Access SETWorks AI Documentation Insights
1. Access SETWorks AI Documentation Insights from the Select Drop Down.
You can access AI Documentation Insights by selecting "AI Documentation Insights" on the dropdown.
AI Documentation Insights is included as part of the SETWorks AI Enhanced package. To purchase or upgrade to this package, please schedule a meeting with us or reach out to Sales@SETWorks.com.
2. After selecting the AI Documentation Insights you will see this screen:
Here you are able to filter by multiple options and select the proper documentation insight tasks!
3. Complete the optional Custom Instructions:
To adjust the outcome from the predefined Documentation Insight task, you may add additional instructions in the Custom Instructions box here. Use the Custom Instructions box to tailor the results of your Documentation Insight task. You can:
- Request a shorter or more detailed summary
- Choose formatting (e.g., bullet points vs. full paragraphs)
- Ask for translations into other languages
- Or add any other specific preferences to refine the output to your needs
Your completed task will display, with results of each response, with the ability to copy/paste as needed.
What do the green, yellow, and red colors mean?
SETWorks does post-processing on everything the AI Documentation Insights features produces, with citations to reference which documentation was used to generate the AI output. After the AI output is validated, the colors that appear indicate the confidence level of the AI output being correct. This accuracy-scoring process is run entirely inside SETWorks' HIPAA-Compliant environment, so you can trust - and prove - the results.
Tips on using AI Documentation Insights
Creating Custom Tasks: Users can provide detailed instructions for the AI to perform specific actions, such as evaluating the quality of staff comments.
Instructions and Descriptions: Instructions can be lengthy and detailed, while the description shown in the UI is kept short for ease of use.
Filters
Filter Types: There are different types of filters available for analyzing activity records, including date range, departments, consumers, authorizations, status, staff, and comment types.
Filter Functionality: Filters can work in a variety of ways, such as filtering by date range to narrow down the activity records for analysis, and filtering by departments, consumers, and authorizations to focus on specific data sets.
Use Case Examples: Examples of how these filters can be used include things such as filtering by specific staff members to analyze their comments or filtering by status to view only active or inactive consumers.
Generating Reports
Users can generate reports of the AI analyses, filtering by staff and date to view specific data sets and review the results in detail. The reports include all teh data and comments used in the original input, providing a comprehensive overview of the results.
Timeout Limit
There is a 10-minute timeout for large data sets to ensure security and efficiency. If the process takes longer than 10 minutes, it will not work due to cloud and security limitations.
How to add new Tasks and Edit existing tasks
SETWorks AI includes a powerful utility that allows you to customize and fine-tune AI documentation tasks to match your agency’s unique needs. Whether you're summarizing Activity Records, preparing for family meetings, or creating new workflows entirely — you’re in control.
🔧 How to Access and Edit Tasks

Open the AI Documentation Insights Task Manager in your admin tools.
You’ll see a list of available tasks such as:
Click on any task to:

To add a new documentation insight task:

Click "Add New Documentation Insights Task" at the bottom of the table.

Provide a clear task name, such as "Audit Prep Summary" or "Quarterly Outcome Overview".
Fill in:

Instructions: Guide the AI on what to analyze and how to format output.

Task Type: Choose the appropriate task category.

Code (optional): Used internally to reference the task logic.

General Notes on Working with AI Tools
While AI tools are intelligent and efficient, they don't learn in the same ongoing way humans do. AI Tasks are specifically built and trained to perform certain tasks, but they don't retain new information or adapt independently over time. This is why creating clear, specific inputs when building your AI Tasks is important—so you don’t need to repeatedly enter the same prompts each time you interact with the AI.
