We're excited to share the biggest evolution of SETWorks: New SETWorks!
New SETWorks is built from twenty years of listening to organizations like yours: every workaround, every "I wish the system could..." Your team will be able to configure pages, fields, and workflows around exactly how your programs run. It's mobile-first for staff working in the field, and what you already know about SETWorks carries forward. This isn't a new system to learn.
New SETWorks is the next version of the platform you already use, and the largest rebuild in SETWorks’ history. It's built from twenty years of feedback and requests you and other clients have shared with us.
The most significant difference in New SETWorks is instead of your agency adapting your workflows to the software, New SETWorks configures around your agency. Your team can now directly shape pages, fields, workflows, and reporting around each program, funding source, and state, without waiting on our development team. New SETWorks has also been rebuilt to be mobile-first for staff working in the field. And what you already know (and love) about SETWorks is still here. This isn't a new system to learn from scratch!
What's driving this change?
The current platform has served providers well for twenty years, and it continues to, but the way providers operate has changed. Today’s organizations need configurable workflows, connected data, mobile experiences, automation, and AI that functions within the context of their operations. New SETWorks was built on a modern foundation to deliver those capabilities while enabling the platform to continue evolving with the industry over the next twenty years.
New SETWorks is a new platform, built on new technology, not a version update or a download. That said, it's designed around the same programs, workflows, and day-to-day work you already know from SETWorks, so the technology underneath is what has changed, not what your team is used to doing.
What can New SETWorks do that my current platform can't?
A few of the biggest changes our clients are most excited about: your team can configure pages, fields, forms, and workflows around your own programs, accelerating time to value and reducing the need for custom development. Every field in the system is reportable, with dashboards out of the box. Any field can trigger a task, alert, or automation, so things like incident follow-ups and billing-ready checks can happen automatically. It's built mobile-first for staff in the field. Permissions go down to the individual user, department, and role. And accessibility, including screen reader support, is built in.
What role does AI play in New SETWorks?
AI is part of the platform's foundation. New SETWorks launches with a HIPAA-compliant AI Assistant for natural-language questions, AI-assisted QA review that helps staff improve case notes before submission, and an AI-powered workflow engine that can act on plain-language instructions, like flagging an unreported incident inside an activity note. Because AI is built into the foundation, these capabilities will expand quickly from here.
Is this a new app my staff have to download?
No. Like with current SETWorks, New SETWorks runs in the browser and works on phones and tablets with nothing to install. The mobile experience was designed first, not adapted later, so staff documenting in the field get a real mobile experience.
How proven is New SETWorks right now?
Is New SETWorks secure and HIPAA compliant?
Is current SETWorks being discontinued?
No. There is no sunset date, no forced migration, and no deadline. The current SETWorks platform continues to be supported and maintained: support, maintenance, and security updates all continue as normal, and the team you work with today keeps supporting you the same way. Whether and when you migrate is your call as soon as the option is available.
We are onboarding right now - what does this mean for our in-progress SETWorks implementation?
Your implementation continues as planned, with no action needed from you right now. The work being done on your build today carries over to New SETWorks, whenever migration becomes an option for you.
Can I choose if and when to migrate to New SETWorks?
Migration is 100% optional. We're still finalizing what the process will look like, and we'll share those details as they're ready.
What about our integrations, billing connections, and state reporting needs?
We know these connections are what your operation runs on. Accounting for every integration and reporting requirement is a core part of the migration planning we're doing now, and your specific setup gets reviewed before your move, not after. If you're wondering about a specific integration, ask us and we'll give you a straight answer for your organization.
What happens to my existing data, configuration, and custom workflows?
During migration, we move your data over, including your users, individual profiles, forms, documentation, and reports, and we configure New SETWorks to match how you currently use it. Validating that process with real client data is exactly what our Early Access group is doing right now. All your historical data is preserved and remains accessible.
How much setup work will this be for my team to migrate to New SETWorks?
We’ll do the heavy lifting! Configuring New SETWorks to match how your organization works today is our job, not yours. We're building migration tooling that moves your data over with minimal manual effort from your team.
How will you make sure my migration to New SETWorks goes right?
Our goal, and the whole reason we're validating migration with our Early Access group first, is to make sure your move works the first time. As we finalize the migration process, we'll spell out the safeguards that come with it, including how issues get resolved if something doesn't land right.
What kind of support will I have during migration?
You won't do this alone. We're finalizing exactly what migration support looks like, including data movement, training, and consultation, using what we learn from our Early Access group, and we'll share the full picture before anyone is eligible/ ready to move.
Will my staff have to relearn everything in order to use New SETWorks?
No. New SETWorks is designed around the same programs, services, and day-to-day work your team already knows, so nobody is starting over. There will naturally be some learning as your team gets familiar with the new experience, but the underlying workflows stay familiar, and the result is a faster, more intuitive platform that saves your staff time every day, especially in the field. There are also new features we're excited for you to explore, and we're building resources your admins can use to learn at their own pace.
How will my team get up to speed on how to use brand new features in New SETWorks?
The core of the system works the way you already know, so your day-to-day work stays familiar. There are a number of new features we're excited for you to explore, built to genuinely improve how your team runs its programs! We're building resources your admins can use to learn at their own pace.
Who do I contact with questions or concerns?
Hopefully this FAQ has answered what you're looking for! If not, reach out to support@setworks.com. Every question gets an answer, and if we don't have one yet, we'll share honestly and get back to you with a real answer. If you'd rather just talk it through, we're glad to set up 15 to 30 minutes - shoot us an email.
Does migrating to New SETWorks affect my pricing or contract?
No. There are no fees for migrating, and your contract doesn't change as a result. Nothing about your pricing is changing right now, and if that ever changes down the road, you'll hear it from us directly and well in advance, never as a surprise.
When can I migrate to New SETWorks?
We don't have a migration date yet. What matters most to us is getting this right: making your move as seamless as possible and making sure your team is fully equipped to take advantage of New SETWorks' features, flexibility, and technology. We're actively testing the migration process with a group of clients in our Early Access group, and that work is shaping what a successful migration path looks like for every customer.
How do I sign up to let you know we're interested in migrating?
