What is a custom payroll interface?
A payroll interface is a custom report built with your organization and for your organization that generates timekeeping and attendance data (based on activity records). This occurs in the format of an exportable report from SETWorks and is imported manually to your payroll system.
How will my organization benefit from a payroll interface?
A payroll interface will speed up the process of completing payroll each payroll cycle significantly, as time and attendance data is no longer entered by hand into the payroll system. Using SETWorks activity records for staff time and attendance is a two-in-one whammy – staff are incentivized to complete their documentation for service delivery as that same activity record also serves as their timesheet entry for the day. No more reconciling the two systems; a payroll interface ensures the entry is collected in one system and directly imported into the other.
Complex payroll rules? If your payroll system can't handle it, we can! SETWorks is highly configurable allowing you to consider custom rates for staff, participants, and even services. We'll evaluate all payroll needs including staff rates, overtime calculations, shift differentials, pay codes, and other coding system needs. We can handle staff and consumer payroll in production settings and other work environments.
Which payroll vendors does SETWorks interface with?
We have current interfaces in place for a variety of payroll vendors including ADP, Diversified, Great Plains, ISolved, Minute Men, Paycom, Paycor, Paylocity, Quickbooks, and Sage/Peachtree. If your system is not on this list, no problem! In general we can interface with other systems or vendors as long as they are capable of it. Contact your payroll vendor to confirm if they have an import function to import payroll and/or time and attendance related data.
Can I send or receive non-payroll data from my payroll vendor (e.g., user names, demographics, etc.)?
Yes! SETWorks can handle bidirectional data transfer which will allow the retrieval of data from a system as well as the ability to send data automatically (via API, SFTP, or other methods required by the payroll vendor). We have active integrations with Paycom, Paycor, and Paylocity to send or receive non-payroll data.
Organizations are opting in for integrations like this to maintain consistent and quality data between all of their organization's systems. An API or bidirectional integration is more complex than the traditional payroll interface and may require an additional custom set-up fee to accommodate the unique needs. Learn more here (

What is included in the interface set-up process?
With a payroll interface, your organization is assigned a SETWorks payroll specialist to help walk through the specifics of your organizations payroll needs, your payroll system's requirements, and how those two can or should interact. The specialist will help configure SETWorks so the systems "speak the same language" by mapping fields between both systems, designating where data will pull from in SETWorks and where that data will appear in the payroll system. To ensure the interface encompasses your unique and current payroll practices, additional conversation and configuration will occur surrounding complex scenarios within your organization that results in pre-payroll rules, shift differential consideration, overtime, and changes in staff rate for various reasons (e.g., factoring in departments, services, or consumers) . A custom payroll report will be built for your organization that can be imported into your payroll system. Your organization will have the opportunity to test the file import with oversight by your designated specialist who will continue to tweak the custom report to your desired format.
How long will an interface set-up take?
We're looking at an average of 4 weeks or so for a payroll interface depending on the complexity of the payroll needs. The testing phase can take longer depending on the required modifications and system configuration.
What is the cost for a payroll interface?
For a payroll interface, there is a $3,000 set-up fee with a maintenance fee of $195/month. The maintenance fee supports the completed interface and allows our teams to continually work together if modifications are required down the road or if issues arise.
