Creating a Placement Letter

If you do not have access to the Placement Letter form, please contact SETWorks to have it turned on.

Overview

There are 3 steps to creating a placement letter:
  1. Create a "Job Placement".
  2. Create the "Placement Letter Form".
  3. Click "generate report".
Detailed instructions are below.

Creating a Placement Letter

Open the client record, navigate to the "Job Placements" tab, and create a Placement for the client.  
When entering the placement, make sure the correct authorization is tied to the placement.  
The same authorization will need to be selected when creating the form




Navigate to the Forms tab, and select "Placement Letter" from the Forms drop-down field.  When creating the form, make sure that the same authorization selected in the placement is selected in the Form.





Once the form has been created, sign off on the form, and then click generate report to generate the Placement Letter.  The report will open in a new tab in the browser.  From there, the Placement Letter can be printed or exported into PDF or Word formats.






Troubleshooting

The Phone Number field isn't populating. What do I need to change in order for it to appear?
The Phone Number field on the Placement Letter form is automatically populated from the Supervisors' Work Phone Number. 
If your form doesn't display the Phone Number like in the screenshots above, check for the following three things:

1. Ensure that you've selected the correct authorization on the form and that the client's job placement is associated with that authorization:



2. Ensure that the Job Placement has a "job supervisor" selected:



3. Ensure that the Employer record has a Primary Contact entered and that the Primary Contact has a Work Phone Number entered:





The Placement Letter form will only display the Phone Number if it is of the "Work" Phone Type. 

Advanced Troubleshooting


If the above steps still don't make the Phone Number appear, have your SETWorks administrator check the Phone Type configuration in the Phone Type Utility. 

In order for the Placement Letter to display the phone number, the following Phone Type field must be available:
Code: EMPLOYERCONTACT_WORK 
ApplicableEntityCode: EMPLOYERCONTACT
