Create a Billable Group Activity Record

How do I complete a Billable Group Activity Record in SETWorks?

Direct Staff, Everyone

Billable Group Activity Records function differently than Individual Activity Records in that they allow for multiple consumers and staff to be scheduled within one group appointment. 1:1 services can still be provided using this activity record type. The details of the activities are created within the left panel of the activity record frame.

Terminology can be modified within SETWorks to better fit the needs of your organization. If the terminology in our articles are not the same on your site, talk to your local administrator to assist in translation.

Setting up the Group Details

Some fields may not be visible depending on the privileges within your SETWorks site.

Date :  Select the date from the calendar icon.
Service Type/Service: Filter by service type or service. 
                      NOTE:  The selection here limits the list of consumers.
Department:  Filter by Department
                      NOTE:  The selection here further limits the list of consumers and staff.
Description:  Type the subject or description of the group appointment.   Optional.
                       EXAMPLE:   Day shift at the paper place.
Set Default Time:  Select the start and end time.
Primary Location:  Select the Primary Location.
Staff:  Select applicable staff (multi-select allowed).
Consumers:  Select applicable consumers (multi-select allowed). 
[Consumer in/out times]:  Select the start and end time per consumer if different from staff. 
                        NOTE:   Originally defaults from the 'Set Default Time' field above.
Save Group Details. 
                        NOTE:   You will be unable to document unless the group details are saved.



Documenting

1. Overall comments:  Insert overall comments about the activity. Save comment.
2. Select arrow next to the consumer to open documentation areas.
      - Complete the areas relevant to the individual you are documenting on including Additional Supports, Clinical Events, Protocols/Custom Plan Questions. 



3. Complete the Outcomes/Goals.
      - Select 'add goal comment'
      - Select assessment keys. 
      - Select intervention keys.
      - Insert a narrative into the text box.
      - Save comment.
NOTE: Documentation will not be saved unless Save Comment has been selected after each entry.





Upon completion of documentation, close the record.
