At our agency, we provide both CPS (Day Program Services) as well as Residential Services. In Pennsylvania, the (high vs Low) rate we can charge for Residential services is based on time spent in the day program. Currently, when completing an activity record, we must enter start and stop times between residential and day services in order for those to present correctly in the billing module. Our residential services require a daily note. It is not 15 minute unit based like day program.
My issue:
When completing residential activity records, we must start and stop records based on the day program start and stop times as well as take into account time away for family visits, elopements exceeding 16 hours, hospitalizations, etc.. This can get very messy which is why we have yet to use the activity record for residential services. We are currently using a form to capture this, but it has been cumbersome.
My thought:
It would be great if Setworks can be designed so that residential staff can enter a residential note for the entire day despite what the other service entries are for the individual. Basically, as a residential staff, I can enter a note from 12am-12am to capture the day. If day program enters a note within those times on that day, perhaps it can be reflected in the billing module and cancel that timeframe from the residential note. This is somewhat the case now with the consumer events tab and hospitalizations. I know that entering a start date there for the hospital automatically cancels the bill for residential until you put in an end date. My thought is that it would eliminate time gaps and overlaps between the services.
I think it would also be good if we could add our other "away from residence" options to the consumer events to account for vacations, elopements, etc. with start and stop dates and times.
